Privacy Policy
This page explains what Mechanisms Co., Ltd. ("we") does with the details you send through the English enquiry form for SmartKaitaku. We are a Japanese company and we handle this information in Japan, under Japan's Act on the Protection of Personal Information.
The short version. We collect what you type into the enquiry form, we use it to answer you, we do not sell it or pass it to anyone outside the suppliers listed below, and you can ask us to delete it at any time.
1. What we collect
Through the English enquiry form:
- Your name, your company name and your work email address
- Your company's website address
- The plan you are considering, and what you write about who buys from you in Japan
- Your confirmation that you agreed to this policy
Automatically, as with any website:
- Your IP address, browser type, and the time of the request
- Which page you arrived on, which site referred you, and any campaign parameters in the link you followed — so that we know where an enquiry came from
- Cookies and similar identifiers used by the analytics tools in section 5
2. What we use it for
- Answering your enquiry, including running the free count of how many Japanese companies match your targeting
- Preparing a quote, and if you go ahead, providing the service, invoicing it and keeping the account in order
- Sending you the campaign reports and anything else the engagement requires
- Understanding which parts of the page are unclear, so we can improve them
- Meeting obligations placed on us by law
We do not add you to a marketing list because you filled in the form. If you ask a question and the answer is no, that is the end of the correspondence.
3. Who else sees it
We do not sell personal information and we do not share it with third parties for their own purposes. We do not pass it to the Japanese companies we contact on a client's behalf.
We use the following suppliers to run the service. Each of them processes the data on our instructions, and we remain responsible for it:
- Slack — enquiry notifications reach our team there
- Stripe — payment processing, if you become a client. Card details go to Stripe directly and we never hold them
- Google (Analytics via Tag Manager, and reCAPTCHA) and Microsoft (Clarity) — see section 5
- Our hosting provider, which stores the site and the enquiry log
We will disclose information where the law requires it, where it is needed to protect someone's life, safety or property and consent cannot reasonably be obtained, or where a public authority requires our cooperation under law.
4. Where it is held, and for how long
Your information is transferred to and stored in Japan. If you are writing from the EU, the UK or another region with its own transfer rules, please take that into account before you send anything you would not want held outside your own jurisdiction. Japan has been recognised by the European Commission as providing an adequate level of data protection, but we are stating the fact of the transfer plainly so you can make your own decision.
Enquiries that do not become engagements are kept for up to two years so that we recognise you if you come back, and then deleted. Records relating to an actual engagement are kept for as long as Japanese tax and accounting law requires.
5. Cookies and analytics
We use Google Analytics, through Google Tag Manager, to understand how the page is used, and Microsoft Clarity to see where readers get stuck — which parts are clicked, scrolled past or abandoned. Clarity is configured to mask what is typed into form fields, so the content of your enquiry is not recorded by it.
We use Google reCAPTCHA on the enquiry form to tell people from bots. Google receives information about your interaction with the form for that purpose, under Google's own terms.
We cannot identify you personally from what these tools collect. You can disable cookies in your browser; the page and the form will still work.
6. How it is kept safe
We take reasonable and appropriate measures against loss, alteration and unauthorised disclosure. Enquiry records are stored outside the public web directory, access is limited to the people who need it, and credentials are held separately from the site's code.
7. Your choices
You can ask us to show you what we hold about you, correct it, add to it, delete it, stop using it, or stop passing it to the suppliers above. Write to us through the enquiry form and we will deal with it without undue delay. Asking us to delete your details costs you nothing and we will not ask you to justify it.
8. Changes to this policy
We may update this page when the law changes or when we change how the service works. The version on this page is the one in force, from the date it is published here.

A Japanese-language privacy policy covers our domestic service and differs in places, because the Japanese form collects different fields. If the two ever conflict for an English enquiry, this page is the one that applies to you.
